The NARUC 2023 Annual Meeting and Education Conference is in-person only.
THREE-NIGHT MINIMUM: There is a minimum three-night stay (Sunday, Monday, and Tuesday/November 12 -14) at the La Quinta Resort. Pre-and post-night reservations will not apply to the minimum three night’s say. Credit cards will be charged on Friday, November 3, 2023, for the full reservation. Refunds will not be applicable after the reservation is charged. Rooms are available until sold out.

Cancellation and Other Policies:

Cancellations:
If you are unable to attend or secure a substitute from the same organization, cancellation must be submitted via email to btan@naruc.org. A refund less a 20% processing fee will apply prior to October 30. After October 30, no refund will be issued unless documentation of an emergency is submitted. Individuals who fail to attend the meeting (no-shows) will not be entitled to any refund. Substitutions may be made in advance by November 6 or afterwards onsite. Email questions to meetings@naruc.org.

Substitutions:
Substitutions are allowed by individuals within the same institution/company by October 30. A ‘NEW’ person must have a profile in the system; click this link to create a profile https://www.naruc.org/mynaruc/. For assistance, email meetings@naruc.org.

NARUC reserves the right to cancel courses due to the unlikely event of insufficient enrollment or other unforeseen circumstances. If a meeting is at capacity, canceled, or postponed, the Association will refund registration fees but cannot be held responsible for other costs or expenses, including cancellation/change charges assessed by airlines, travel agencies, or hotels.

LA QUINTA ROOM RESERVATION INFORMATION

PRE & POST NIGHT RESERVATIONS: A limited number of rooms at group rate are available Friday, November 10 and Saturday, November 11 and Wednesday, November 15. Reservations for these nights will not apply to the minimum three-night stay. Credit cards will be charged on Friday, November 3, 2023, for all nights reserved. Refunds will not be applicable after the reservation is charged.

ROOM RATE: Single/Double Occupancy: $249.00 plus 14% tax. This rate is based on availability. The room block is open until midnight on October 19, 2023, or until rooms sell out, whichever comes first.

RESERVATION LINK: Individuals attending the 2023 NARUC Annual Meeting and Education Conference must register for the conference before reserving a room at the La Quinta Resort and Club at the NARUC Group Rate. Registrants will receive the link to reserve a room in their registration confirmation letter. Rooms in the NARUC hotel block are for registrants only. One reservation per registrant is allowed. Reservations by non-registrants or multiple hotel reservations under the same name are subject to immediate cancellation or rate change. No call-in reservations will be accepted. Rooms booked through methods other than the NARUC housing link or with the hotel directly are subject to different rates and cannot and will not be adjusted by NARUC staff.

NO SHOWS: No-shows or guests who cancel a portion of their reservation within seven (7) days of arrival will be charged the full length of their stay.

CANCELLATIONS WITHIN 7 DAYS OF ARRIVAL: Reservations canceled within 7 days of arrival will be charged for the full reserved stay. Name changes or substitutions for room changes are permitted up to 24 hours before arrival. Contact the hotel directly through the link or number provided in your reservation confirmation.

OVERFLOW HOTEL: NARUC has not contracted for an overflow option. When the NARUC block sells out, we recommend using your favorite hotel chain or travel-related website and searching for hotels near the La Quinta Resort and Club.

NOTE: Be wary of travel scams. If anyone claiming to be associated with a travel agency and/or “convention housing” contacts you with an offer for booking a hotel room for this event, do NOT provide your contact or payment information. This is a scam. NARUC does not contract with such firms. In some cases, these companies falsely claim to be the official housing bureau or room representative for NARUC. We have NOT contracted with any company to serve as our representative. If the headquarters hotel sells out – overflow hotels will be noted on our website.
